Please consider Sol Surf's cancellation policy thoroughly before booking your place on retreat. Please appreciate that Sol Surf is a small business and money lost considerably impacts the livelihood of its owner. As much as I would like to accommodate guests' change of plans or unforeseen circumstances, that money comes directly out of my pocket. I consider my policies to be fair, doing the best I can to help my community while also supporting the fact that my business is my sole source of income. Thank you in advance for your understanding.

Lancelin cancellation policy:

• If you cancel more than 2 weeks before your booked Lancelin event, you may transfer to another available Lancelin date or receive a refund minus payment platform fees.

• If you cancel within 7 days of the event, you are eligible for a 50% refund.

• Please note that no-shows on the day are non-refundable.

 

Margaret River cancellation policy:

In the event of a cancellation made outside of 1 month prior to the trip, the guest will receive a refund of their payment only if their spot is filled by another booking. Booking fees will not be refunded. If the cancellation is made within 1 month of the starting date of the trip, the guest will receive a full refund, less a $100 admin fee, only if their spot is filled by another booking. Alternatively, a guest may choose to move to another retreat date, less a $50 admin fee. Bookings fees will not be refunded.

You are responsible for your own travel insurance if you are coming interstate. You should not travel without adequate travel insurance. Please ensure that surfing is covered by your travel insurer.

Sol Surf assumes no responsibility for any injury sustained or death of a guest while on retreat, or for the loss or damages of any guest items while on retreat. Yoga & surfing are respectively covered by the outside party's insurances. ​​​Please disclose any necessary medical conditions to the host prior to arrival. By attending Sol Surf's retreat, you assume full responsibility of yourself outside of coached surfing sessions and yoga classes. Please consider whether it would be worth purchasing travel insurance, in the case you have to cancel due to illness or injury. In the case you have to cancel due to illness or injury, the normal cancellation policy applies.

Please note that the retreat will not run unless there are a minimum of 4 bookings. You will be notified 2 weeks prior to the start date if the retreat is not running and be offered a full refund of your payment (including fees) or the choice to move to another retreat date free of charge.

 

​Lombok/Philippines cancellation policy:

• You may cancel more than 3 months before the retreat start date to receive a refund of your 50% deposit, minus any payment platform fees.

• If you cancel within 3 months of the retreat, your refund (less a $100 admin fee) is subject to your spot being filled by another guest.

• The balance payment is due 3 months prior to the retreat start date. If you cancel after the balance has been paid, a refund (less the $100 admin fee) will only be issued if your spot is filled by another booking.

• Please ensure you have adequate travel insurance to cover any last-minute cancellations or unexpected circumstances.

Sri Lanka cancellation policy:

We know life happens, and sometimes plans change. To keep things fair for all guests and our local partners, the following cancellation terms apply for our Sri Lanka retreat:

 

Cancellations by You

• 90+ days before retreat start date – Full refund of your payment (minus a $150 AUD admin fee), or transfer your booking to a future Sol Surf retreat.

• 30–89 days before retreat start date – 50% refund of your total retreat fee, or transfer your booking (subject to availability).

• Less than 30 days before retreat start date – No refunds or transfers available. Please consider purchasing travel insurance early to avoid financial loss in the case of a last minute cancellation.

 

Deposits

All deposits are non-refundable but may be transferred to another retreat date if you cancel at least 90 days before the retreat start.

 

Cancellations by Us

If Sol Surf needs to cancel the retreat due to minimum numbers not being met, border closures, or other unforeseen circumstances, you will receive either:

• A full refund of payments made, or

• A credit to transfer your booking to a future retreat.

 

Travel Insurance

We strongly recommend all guests purchase travel insurance that covers surf activities, medical emergencies, trip cancellations, and lost baggage.

 

No-Shows

No refunds are given if you fail to attend or arrive after the retreat start date.

Mentawais cancellation policy:

I understand that plans can change, but please be aware of the cancellation policy before booking your retreat with Sol Surf.

• 50% cancellation fee if you cancel before 1st May 2026, unless your spot is filled by another booking (less payment platform fees)

• No-refund if you cancel after May 1st, 2026 unless your spot is filled by another booking (less payment platform fees)

I HIGHLY recommend considering and purchasing travel insurance straight away to protect your investment in the event of unexpected changes to your plans. Be sure when you pay for the trip you do so through the means of claiming on your travel insurance (i.e. using a credit card if your travel insurance is awarded through your credit card, etc.)

Please understand that our cancellation policy is in place to ensure fair and equitable treatment for all guests and to protect my small business. I appreciate your understanding and cooperation.

If you intend to rent and drive a motorbike/scooter, please ensure you have your international drivers license, as your insurance will not cover you if you don't.

Sol Surf is not responsible for the loss, damage or theft of any items on retreat. Please disclose any necessary medical conditions to the host prior to arrival. If a medical clearance is needed to gain travel insurance, please disclose this to the host. By attending Sol Surf's international retreat, you assume full responsibility of yourself and must sign the liability waiver prior to the start date of the retreat.

 

​The Lombok retreats requires a minimum of 4 bookings to go ahead. The Sri Lanka retreat requires a minimum of 6 bookings to go ahead. the Philippines retreat requires a minimum of 6 bookings to go ahead. In the case that this doesn't happen then guests will be fully refunded or offered to change dates to another retreat. They will be notified 1 month prior to the trip if it will not be running.
