Sol Surf Experience – Booking, Deposit & Cancellation Policy

1. Booking & Deposit
To secure your place on a Sol Surf Experience retreat, a 30% deposit of the total retreat price is required at the time of booking.
Your booking is not confirmed until the deposit has been received.
The remaining balance must be paid in full no later than 90 days prior to the retreat start date unless otherwise agreed in writing.
The 30% deposit is non-refundable, as it secures your place on a small-group retreat and contributes toward upfront accommodation, staffing, transport, administration, and operational costs.
However, if your place is successfully filled by another paying guest, your deposit may be refunded minus any reasonable administrative or payment processing fees.
2. Cancellation by Guest
We understand that plans can change. Due to the small group nature of our retreats and the advance costs involved in accommodation, transport, staffing, and logistics, the following cancellation terms apply:
More than 90 days before retreat start date
If you cancel your booking more than 90 days before the retreat start date:
-
your 30% deposit is non-refundable; however
-
you may transfer your booking to another Sol Surf Experience retreat date (subject to availability); or
-
if your place is successfully filled by another paying guest, your deposit may be refunded minus any reasonable administrative or payment processing fees.
Within 90 days of retreat start date
If you cancel your booking within 90 days of the retreat start date, all payments made are non-refundable.
If your place is filled by another paying guest, we may, at our discretion, offer a partial refund or booking credit.
3. Transfers & Credits
One transfer to another Sol Surf Experience retreat date may be requested if cancellation occurs more than 90 days prior to the retreat start date. Transfers are subject to availability.
Additional transfer requests may incur an administration fee and are not guaranteed.
4. Guest Replacements
You may transfer your booking to another person with prior written approval from Sol Surf Experience.
The replacement guest must agree to all booking terms and conditions and complete any required forms prior to attendance.
5. Cancellation by Sol Surf Experience
In the unlikely event that Sol Surf Experience must cancel a retreat due to insufficient numbers, unsafe conditions, natural disasters, government restrictions, or other circumstances beyond our control, guests will be offered either:

a transfer to a future retreat; or
-
a refund of monies paid to Sol Surf Experience.
Sol Surf Experience is not responsible for any additional expenses incurred by guests, including flights, travel insurance, accommodation, or other third-party costs.
6. Travel Insurance
We strongly recommend all guests purchase comprehensive travel insurance that covers cancellation, illness, injury, medical expenses, and travel disruptions.
7. Australian Consumer Law
Nothing in this policy excludes or limits any rights you may have under Australian Consumer Law.
8. Agreement to Terms
By paying a deposit or participating in a retreat, you acknowledge that you have read, understood, and agreed to these Booking, Deposit & Cancellation Terms.
Minimum numbers required for retreat to commence:
Margaret River: 6 guests
Lombok/Siargao/Mentawai: 5 guests
Sri Lanka: 6 guests
Hawaii: 8 guests
Guests will be notified of an international retreat not commencing 60 days prior to start date
Guests will be notified of a Margaret River retreat not commencing 30 days prior to start date
